Opus customers mail over 100 million packs each year to their clients and employees. As part of their internal processes many of these documents need to be viewed by their internal staff perhaps in a call centre or in the finance department.
To address this challenge we developed Trust Store which we believe takes a complex requirement and delivers a simple but highly effective tool. In addition to the documents we produce, Trust Store users are able to forward additional documents and data in any format to the team at Opus, where it is converted and placed within the Trust Store framework and able to be housed for as long as is required. These documents could be scanned timesheets or proof of delivery forms.
Clients are able to specify how they want to search for information, enabling documents to be retrieved quickly and easily. This is all accessible via an online web portal; where users are able to simply logon to remotely access their documents from any computer. To make it easier to use and to ensure branding guidelines are met, clients are able to set up designated ‘homepages’ for specific customers, allowing organisations to have their own branded Trust Store homepage where their end customers can log on and to view their bills, statements, invoices or other documentation; delivering a portal which has the same look and feel as an in-house system.
Because we can track when documents have been accessed and by whom this eradicates the problem of customers claiming they have not received their bills so no more delayed payments. If further evidence is required for them to agree to pay, then any additional documents can be linked to the bill such as any scanned documents, now enabling clients to easily view their billing information in full.
Security is an intrinsic part of Trust Store, with every logon noted, a clear audit trail provides evidence of every document accessed and viewed, at what time and by whom, so clients always know what information has been accessed.
