Our client, who is a prominent medical body wished to reduce their overseas postal cost and asked the OTM Account Manager to manage the project.

The SolutionWorking with the client and various overseas consolidation mail services, we undertook an extensive review of the market.

Further to the review and our recommendations, the client changed suppliers with the project delivering postage savings of 14.62% per annum. The cash saving enabled the client to invest in an alternative BIO-degradable poly wrapping for their magazine. The client was happy to benefit from reduced postal charges and to be able to enhance their own green credentials, at no additional cost to themselves.

Process efficiency to improve revenue generationFurther to an additional review by outside consultants and OTM, the client outsourced further elements of their back office process to OTM.

The implementation of an outsourced contract presented the client with an opportunity to re-engineer the business critical fee collection process. Prior to the contract this process was an undertaken by an in-house department. They would collate and print the fee collection letters on a Quarterly basis. The implementation of a new enterprise software facilitated automatic daily data transfer.

The OTM project team produced automated letter scripts for 28 letter types with variable data text inserts, this facilitated a speedy workflow from receipt of data to print queue saving weeks off the in-house system. Service levels for the account are data received 03:00 hrs letters mailed 17:00 hrs same day. The client has benefited from:

  • Faster revenue collection
  • Outsourcing has applied the rigor of controlled and measurable service level agreements
  • Daily fee mailing has greatly reduced debtors’ days
  • Daily mailings have improved call centre client service by eliminating end of Quarter peaks
